Connect an inbox

Every warmup message and campaign email goes out through a mailbox you own. Here's how to connect one.

Gmail

Gmail connects with an app password — never your account password. Google only offers app passwords once 2-Step Verification is on.

  • Turn on 2-Step Verification in your Google Account under Security.
  • Create an app password (name it ColdPilot) and copy the 16 characters. Google shows them once; spaces don't matter.
  • In ColdPilot, add the account with your full Gmail address and paste the app password. That's it — no server settings to type.

Outlook / Microsoft 365

Add the account with your full Outlook address and an app password, where your organization allows them. If your admin disables app passwords, ask them to allow one for the mailboxes you send from.

Any other provider (IMAP + SMTP)

Custom domains, Yahoo, Zoho, Fastmail, and self-hosted servers connect with plain IMAP + SMTP. You'll enter the SMTP and IMAP hosts, ports, and credentials — the usual shape is SMTP on port 587 and IMAP on port 993.

Daily caps

Every mailbox gets a daily sending cap that bounds how much it can send. Gmail and Outlook accounts start at 50 sends a day; custom IMAP accounts start at 30. The cap only raises the ceiling — your campaign's own daily limit, the ramp, and warmup standing still apply, and the smallest one wins.

A new mailbox has no reputation. Scale by adding mailboxes, not by cranking one mailbox's cap — sudden high volume from a cold inbox is one of the fastest ways to land in spam.
